Proctors: The Human Element of Exam Monitoring and Support

Introduction #

As a testing organization, ensuring the integrity and credibility of your exams is crucial. That’s where the proctor role comes in. Proctors are responsible for ensuring that exams run smoothly, candidates receive the necessary support, and all rules are followed. At YTM, we provide expert proctoring services that guarantee the security and reliability of your testing system. In this article, we will explore the critical role of a proctor in your testing system and how YTM can provide you with the best possible proctoring services.

The Essential Role of Proctors in Maintaining Exam Integrity #

One of the key responsibilities of a proctor is to ensure a secure environment that results in credible results. Proctors receive a notification when assigned to a session and can monitor one or more tests simultaneously, either in real time or through Record and Review. If proctors are monitoring live sessions, they follow the protocol the client sets (click here to download the checklist, which includes all relevant protocols).

Before candidates join the session, proctors greet them and provide them with a rules and guidelines document. They check the identity of each candidate and ensure that any special accommodations requested by the client are provided according to protocols.

This can be checked in the:

  1. Testing center/Candidates/Proctoring tab.
  2. Select the desired test and testing session.
  3. Select the Special accommodations option.

During the exam, proctors monitor the candidates to ensure that they are not cheating or breaking any rules. Proctors can communicate with candidates in their preferred language and issue warnings or eject candidates if they violate any rules.

The Trained Professionals Ensuring Exam Integrity #

At YTM, we have certified and experienced proctors who monitor various sessions, including language proficiency, certification, and high-stakes exams. Our proctors monitor eight candidates at a time, ensuring they don’t break any rules and receive the necessary support. Proctors can communicate with candidates in any language, depending on the client’s needs.

Live Proctoring: Ensuring Exam Integrity in Real-Time #

Live proctoring is particularly useful for high-stakes exams that require immediate supervision, such as professional certifications or university entrance exams. In this process, proctors monitor the exam in real-time, ensuring that candidates follow all the rules and guidelines. Once candidates join a session, they will see a welcoming message from proctors with a note that the exam will start after the proctor verifies their identity and checks the environment.

They verify the identity of each candidate and ensure that any special accommodations requested by the client are provided according to protocols. During the exam, proctors monitor the candidates to ensure that they are not cheating or breaking any rules. Proctors issue warnings or eject candidates if they violate any rules. At the end of the session, proctors provide a report on each candidate’s behavior, which can be a recommendation for further action with the report.

The Comprehensive Exam Monitoring Solution: Record and Review Proctoring by YTM #

Record and Review is often used for tests that require more extensive monitoring, such as online certifications, language proficiency exams, or job applications. In this process, the proctor reviews recorded exams after they have taken place. The proctor verifies the test recording and AI report within a specified time frame, determining whether the test attempt is valid or not. The proctor checks the exam recording, ensuring that all rules are followed and that the candidate did not cheat or violate any guidelines. If the ID verification is unclear, the proctor may request a new ID from the candidate. After completing the review, the proctor provides a report indicating whether the test attempt was valid or not. If the test attempt is invalid, the proctor may recommend retaking the exam or warning the candidate. The proctoring report is available in a format agreed upon with the client.
