How to Limit the Time Frame for Starting the Test

This article explains how to manually create test authorizations in the YouTestMe system for each candidate, ensuring that only candidates with active authorizations can book the test.

To start, create a self-enrollment testing session and add candidates with active authorizations to the session. However, you can restrict candidates’ access to tests within the defined timeframe based on their authorizations. This is where the test authorization feature comes into play.

Accessing the page

To create an authorized testing session, follow these steps:

  1. Select the desired test in the Tests/Manage tests tab.
  2. Select the Testing sessions tab.
  3. Enter the Testing session name.
  4. Availability – Enter the start and end dates and the time when the session will be available to the user.
  5. Time zone – This field displays the user’s time zone when creating the session. The dates and times below are defined according to this time zone.
  6. Select the self-enrollment option – A self-enrollment testing session allows candidates to register for a testing session independently, eliminating the need for an administrator to enroll them manually. This testing session is open for enrollment to all users in the system or to all users within a specific user group if self-enrollment is enabled for that particular user group
  7. Authorization required – Test attempt authorization allows the user to book a session to take a specific exam. The authorization must be created for each user individually.

Note: Only authorized users can start or see the test on the My tests page. Users without authorizations won’t have the option to access the test.

Creating test authorizations for each user

After the testing session is created, select the Authorizations tab. To create a new authorization:

  1. Select the Create new button.
  2. Click the Select candidate button to choose the candidate you will create an authorization for.
  3. Select the authorization limit to specify the date until which the candidate is authorized to take the test.
  4. Click the Create button to finish creating the authorization.

For example, if the testing session starts on April 1st and the candidate has 30 days to finish the test, the test manager can set the expiration date for the candidate’s authorization to May 1st. Once the authorization expires on May 1st, the candidate will no longer see the test on the ‘My tests‘ page or have access to the test, even if the testing session is still active.

After creating a session and test authorizations for candidates, proceed to publish the test if it is currently in draft status.

Note: When a test manager creates an authorization for a candidate, it’s primarily for booking the test. This means that if the candidate schedules their exam within the authorization timeframe, they can start the test even if the authorization expires.
