How to Label Questions Using Custom Question Properties

YouTestMe enables the addition of custom fields to label questions, providing users with flexibility beyond the default question labels.

This Custom Question Properties feature is available to administrators or any role with the necessary permissions. It allows users to create and assign custom labels to questions, offering enhanced organization and efficient question management.

Creating custom question properties #

To create a new custom question property, follow the steps below:

  1. Navigate to the System tab in the left-side menu and select Settings and Customization.
  2. Click on the Custom Properties tab.
  3. Click on the Custom Question Properties tab.
  4. Click the Create New button to create a new question property.

In the New Custom Property dialog:

  1. Enter the Title:
    • Specify the title for the custom property.
    • This title will appear as a column header in the question list within the Question Pool, in reports, and as the custom field label when creating questions.
  2. Add a Description (Optional):
    • Provide a description to clarify the purpose of the custom property. This step is optional but can be helpful for users to understand its intended use.
  3. Select the Custom Property Type:
    • Choose the type of the custom property from the drop-down menu. The following options are available:
      • Text: Accepts free text input.
      • Yes/No: A simple toggle for binary choices.
      • Dropdown: A predefined list of selectable options.
      • Timestamp: Records date and time.
      • File: Allows uploading of a file.
      • Number: Accepts numeric input.
      • Date: Captures a specific date.
  4. Click the Save button to add the new question property.

Note: For the dropdown custom question property type, a predefined list of selectable options should be created in the Custom Data Type tab and assigned to the dropdown menu.

Using the Question Properties #

When manually creating a question in the Question Pool, the Custom Question Properties fields are displayed under the Additional Settings section. This feature allows users to assign the desired properties to the question efficiently.

The entered question property will appear as a new column in the questions table. This column will include filters, enabling users to sort and filter questions based on the custom properties created.

When uploading questions using the YouTestMe Excel template, users can add the desired data to the custom column attributed to the custom property in the YouTestMe system.

Using Question Properties in Test Reports #

Custom question properties are integrated into the report builder, enabling users to include them in exam attempt reports. These properties allow for detailed analysis and filtering of results based on the attributes assigned to each question. Reports can be previewed and downloaded for further examination.

Use Case: Streamlining Question Categorization and Integration for Certification Exams #

A certification body conducts exams with questions categorized by topic, compliance standards (e.g., GDPR, ISO), and external reference IDs linked to a learning management system (LMS) or content repository. To efficiently manage the question pool and integrate it with external systems, the administrators create the following custom question properties:

  1. Topic (Text): Specifies the subject, such as “Data Privacy” or “Information Security.”
  2. Compliance Standard (Yes/No): Indicates whether the question aligns with specific standards like GDPR or ISO 27001.
  3. External ID (Text): Stores unique identifiers from external systems for seamless integration and tracking.

Workflow:

  • When adding questions, administrators use the custom fields to tag each question. The External ID field is populated with the identifier from the LMS or content repository to maintain consistency across platforms.
  • During test creation, they filter questions based on properties, such as including only questions related to “Information Security” with valid compliance standards.
  • After the test, they generate detailed reports using the custom fields, allowing performance analysis by topic and compliance. Additionally, they include the External ID in the report to reconcile data with external systems.
  • The external IDs also facilitate audit trails or automated processes like syncing updates between the question pool and the LMS.

Outcome:
This approach enhances the organization of the question pool, streamlines integration with external systems, and provides robust reporting capabilities. It reduces manual errors and ensures that question data remains consistent across platforms, benefiting both administrators and test-takers.
